Let me start with a story that might surprise you...

New Client I Booked is Strange 🧐

I recently started working with a client, let's call him S. He is an engineer and very interested in learning about AI.

He rated his Notion skills a solid 7 out of 10 and had already spent over $200 on second brains, GTD Notion templates, knowledge bases, and more. Despite this, he was never able to fully switch to Notion.

He kept on using tools like:

Workona to save links
Apple Notes to save ideas
Multiple bookmark tools and more

Everything was unorganized, and he was struggling to make time to actually learn about AI. And the templates he bought were confusing.

His biggest issue with templates: where everything should go.

Systems Need to Become Invisible to be Useful 🫥

I’m still working with S, building a system that is organized according to his needs.

Here's a good example:-

Since he loves AI, a big part of the system helps him manage AI projects, tasks, and contacts. Other things that are less important to him, like journaling or goal tracking, are less highlighted in his workspace.

The big realization I got from this is that systems need to become invisible to be truly useful. Templates are a good start, but they often don’t fit perfectly with everyone's unique way of working.

Why Even Use Notion? Is it Still the Best Option? 💩

I’ve been a Notion creator for over four and half years and stories like this make me think. Is Notion really what I need? Is it still the best option out there?

Notion is not the best tool out there if you want to do one specific thing. Whether that’s Journaling, Writing, Creating Content, or literally anything.

It’s not optimized for your task
It’s doesn’t have automations (natively)
It’s does work offline (if you know you know 🤣)

It’s like Minecraft, not the best graphics, not the best gameplay, or not the best controls. It’s still the most played and streamed game on the internet.

Why?

One reason: It becomes what you want it to become.

And that makes it the best tool ever.

I don’t think there is a tool out there except Notion that lets you imagine a workflow to manage your life, work or business and lets you make it happen.

So, for that reason: It’s still the best option out there.
